Yes, there are several ways to manage which communications are sent to customers, both globally and on a case-by-case basis. Here's a breakdown by message type:
Text Messages
- Globally: Turn off all text messages under: Company Settings > Company Profile > Text Messages
Individually: A customer will receive text messages only if:
- Their phone number is saved as “Cell Opt In.”
- The “Notify Customer” checkbox is checked during appointment scheduling
If either of those conditions isn't met, text messages will not be sent to that customer.
24-Hour Appointment Reminders
(Sent the day before an appointment via email and text)
- Globally: Turn off under: Company Settings > Company Profile > Email
Individually: A customer will receive the reminder only if:
- Their email address is not unsubscribed
- The “Notify Customer” checkbox is checked during scheduling
If the email is unsubscribed or the box is unchecked, they will not receive the reminder.
Appointment Confirmation
(Sent shortly after the appointment is scheduled)
- Globally: This message cannot be turned off globally.
- Individually: The confirmation is only sent if:
- The customer’s email is not unsubscribed
- The “Notify Customer” checkbox is checked during scheduling
Bid Follow-Up Emails
(Reminder emails sent after a bid is delivered)
- Globally: Set up timing or disable entirely under: Company Settings > Company Profile > Reminders
- Individually:
- During bid finalization, users can choose to enable or disable follow-ups for that specific bid.
- After a bid is sent, follow-ups can also be manually disabled:
- Go to the Bids section of the project
- Click Bid Details
- Use the “Disable follow-ups” option on the left
Bid Delivery Emails & Bid Acceptance Confirmations
- Globally: These cannot be turned off.
- Individually: The only way to prevent a customer from receiving these emails is to mark their email address as unenrolled:
- Go to the Customer record
- Edit the email address
- Check the box to unenroll the contact
Once unenrolled, the customer will not receive any emails from the system.
