When you send appointment confirmations, estimates and other triggered emails through Contractor Accelerator, these emails are dispatched from our servers but use your email address as the sender. This setup can sometimes cause Gmail to categorize these messages under the Promotions tab.
Why Does This Happen?
Gmail employs complex algorithms to sort incoming emails into various tabs, such as Primary, Promotions, and Social. Factors influencing this categorization include:
-
Email Content: Messages containing promotional language, multiple images, or numerous links may be flagged as promotions.
-
Sender Information: Emails sent on behalf of a user from third-party servers like Contractor Accelerator and other CRMs can be perceived as less personal.
-
Recipient Engagement: Low engagement rates from your customers can also affect this. Encourage them to find the email, open it, and respond to it. Additionally, ask them to move it from the Promotions folder into the Primary folder to reinforce the "Primary" classification.
What Can I Do to Ensure Emails Appear in the Primary Tab?
While Gmail's sorting is automated, you can take steps to improve the chances of your emails landing in the Primary tab:
-
Ask Recipients to Move Emails to the Primary Tab:
-
Desktop Users: They can drag the email from the Promotions tab to the Primary tab. Gmail will prompt, "Do this for future messages?" Encourage them to click "Yes."
-
Mobile Users: They should open the email, tap the three-dot menu, select "Move to," and choose "Primary."
-
-
Request Addition to Contacts:
Ask your clients to add your email address to their Gmail contacts. Emails from known contacts are more likely to appear in the Primary tab.
-
Personalize Email Content:
While the default emails do use the customer's first name, your email tone can make a difference. Keep the tone conversational and avoid excessive promotional language.
-
Minimize Promotional Elements:
Limit the use of images, links, and special formatting. Emails resembling personal correspondence are less likely to be categorized as promotions.
-
Authenticate Your Email Domain:
Ensure your domain has proper SPF, DKIM, and DMARC records set up. This authentication helps Gmail recognize your emails as legitimate.
Conclusion
While Contractor Accelerator facilitates seamless communication with your clients, Gmail's algorithms may sometimes categorize these emails under the Promotions tab. By understanding the factors involved and proactively guiding your recipients, you can enhance the visibility of your emails in their Primary inbox.
